Work Order Efficiency – Internal vs External Execution

Dashboard image

This dashboard is intended for operations/property leaders, maintenance managers, procurement and finance who aim to cut costs by shifting the right tasks from external contractors to internal teams.

Who is watching it?

Head of Operations, Property/Facility Manager, Maintenance Manager, Procurement, Controller/CFO.

How often?

Weekly (steering & resourcing) and monthly (cost review & procurement actions).

Why you should use the dashboard?

It tracks the share of externally executed work orders (R90) and reveals where and what you outsource: by region, work order category and type, with a time trend and a detailed job list (created/completion dates, executor type, vendor, property). The goal is to pinpoint high-cost outsourced tasks that can be insourced, standardized, or re-procured more efficiently while protecting quality and SLAs.

Hints!

  1. High external share + low complexity = insourcing candidate. Filter categories at 70–100% external and check internal skills/tools.

  2. Location patterns. Regions/properties with high external share may signal staffing or scheduling gaps.
