Task Management Momentum provides a clear overview of how the task load changes over time. Momentum is calculated by subtracting completed tasks from newly registered tasks for a specific period. Positive momentum indicates that more tasks are being registered than completed, which could signal an increasing workload. By tracking momentum by area or executor, you can identify early on which areas or individuals may need additional support or resources to handle the rising task load.

This dashboard provides a full snapshot of incoming and open maintenance requests – including delayed cases (not resolved within 7 days). It also shows recent reports, area distribution, and upcoming move-ins to help you allocate resources where they are most needed. Warranty-related issues are excluded from the main data to provide an accurate view of standard operations, but can be reviewed separately.

It tracks the share of externally executed work orders (R90) and reveals where and what you outsource: by region, work order category and type, with a time trend and a detailed job list (created/completion dates, executor type, vendor, property). The goal is to pinpoint high-cost outsourced tasks that can be insourced, standardized, or re-procured more efficiently while protecting quality and SLAs.

The dashboard provides a clear overview of ongoing and historical renovation vacancies – both the number of affected units and the average vacancy duration. You can monitor how many apartments are currently blocked, how long they’ve been vacant on average, and how those figures compare across time and regions. This allows you to take targeted actions, improve renovation workflows, and evaluate whether your efforts are successful. The dashboard also supports follow-up on internal goals, such as reducing renovation vacancy duration by 10% compared to the previous year.

The dashboard provides an overview of planned maintenance over the next 10 years, focusing on estimated costs per year, property, type, and category. It also shows the total estimated cost for the coming 10 and 50 years, as well as cost per square meter (BOA+LOA and BTA). This enables managers to present a well-grounded picture of upcoming actions, planning needs, and financial impact both short- and long-term. It also includes a clear visualization of the maintenance backlog – costs that should have been addressed but remain outstanding – to highlight risk and need for action.

Through this dashboard, you get the opportunity to observe trends and compare different properties by obtaining a measure between the number of move-ins and reported work orders. This insight can be used to identify areas where the inspection process can be streamlined to reduce the number of subsequent work orders, thereby optimizing resource use and reducing property management costs. By carefully analyzing data on the types of work orders reported by new tenants, real estate companies can identify patterns and common issues that can be addressed through improvements in the inspection process.
